Tukinet Privacy Policy

At Tukinet, we take data protection seriously. We take extremely good care of all information we collect or receive about Tukinet users. By using Tukinet, the user accepts the methods of data collection and processing described in this privacy statement.

To enable the use of the services provided by Tukinet, we must collect information about users (e.g., for login purposes). The legality of data collection is based on Regulation (EU) 2016/679 of the European Parliament and of the Council, issued on 27 April 2016, on the protection of natural persons with regard to processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation), Article 6(1)(b): processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract.

What information does Tukinet collect and store?

1. Information provided by the user

Identification data: The IP address of the Tukinet service user is stored on the server. Authorities may request users’ IP addresses, for example, in connection with criminal investigations.

Contact details: A user’s email address is stored if the user wishes to provide it for email notifications and/or password recovery and/or responding to feedback. We do not otherwise contact users by email.
We also collect the first name, last name, email address, and role of Tukinet employees and volunteers, as well as phone numbers if provided voluntarily.

2. Personalized information given with the user’s separate consent, such as customer survey responses and feedback, age group and gender, and for example:

 
information observed from the use of services,
  message history (chats, support relationship messages, group messages),
  service feedback, and
  device identification data.

3. Data inferred through analytics

Statistical information about the use of the online service (not on an individual user basis).
In general, the source of the data is the website user/customer themselves. You can view your own data via your customer account, and if you wish, you can delete data and texts associated with you.

Who can process my data?

Access to Tukinet systems is limited to Tukinet employees and volunteers working within organizations operating on the platform, as well as the technical provider maintaining the system. All parties are trained to handle data appropriately. All data is processed with absolute confidentiality.

What is my data used for?

Personal data is used for:
  maintaining customer relationships,
  ensuring customer experience and service functionality,
  statistical analysis and operational management,
  preventing misuse,
  providing better and more personalized service,
  targeting customer feedback, and
  email notifications.

Is my data safe?

Tukinet’s customer data is stored in protected data center databases with restricted access. The data centers are located in Finland and meet the security requirements for telecom facilities defined by the Finnish Communications Regulatory Authority (specification “Important Facility”, 54 A/2012M). The centers have burglary protection and round-the-clock access control, and the equipment is stored in locked racks with restricted and monitored access.

Server software, operating systems, and the online service itself are kept updated to their latest versions regularly to avoid security risks. Website files are scanned for security risks and various attacks, and backups are taken daily.

The biggest security risk for your data is your account password. Do not share your password with others and try to use a strong password.

Tukinet follows good data protection practices, and access to data is controlled. The requirements of the EU General Data Protection Regulation, effective from 25 May 2018, are followed in the processing of personal data.

How long is the data stored?

We store data for a maximum of five (5) years to fulfill the purposes described in this statement. An account deemed inactive, along with the texts you have written, will be deleted and/or anonymized five (5) years after activity has ceased.

Do I have rights?

Requests for correction or any other inquiries related to your customer data can be sent to our administrators at yllapito@tukinet.net

If you notice shortcomings in our processing or operations, you have the right to file a complaint with the data protection authority. Please also inform us so we can correct our mistakes.

Where can I see what information I have provided?

On the My Tukinet page, you can see the information related to your profile.

How can I manage my data or request to be forgotten?

In Tukinet, you can modify, correct, or delete the information you have provided. You can also delete your entire account. You can also decide whether you want to receive email notifications.

Is my data shared with third parties?

Tukinet does not, in principle, disclose your information to third parties.
Sometimes discussions may reveal that you need support beyond conversation-based help. Tukinet employees/volunteers may then guide you to appropriate services or help you consider solutions to your situation. In cases of an acute emergency, child protection concern, or crime, we must contact the emergency center, child protection authorities, or police based on the discussion content. If the police request it, the technical provider will forward your IP address to them. Even in such situations, we aim for openness and cooperation with you.

Cookies and other tracking on Tukinet's website

The Tukinet website uses cookies and similar browser technologies, such as browser cache. Cookies are small files created by websites that allow us to collect analytics about users and provide a better-functioning website. Cookies are used, for example, for identifying the user and logging in a registered customer. By default, cookies in your browser remain for one year unless you delete them. You can delete cookies in your browser settings. However, remember that new cookies will load when you visit our site again. Acceptance of essential cookies is mandatory for using Tukinet. Users can block non-essential cookies.

We aim to continuously develop our services and provide a better experience for users. As a result, some services and functionalities may be added or changed, requiring updates to this statement. Changes in legislation may also require us to modify or clarify parts of this statement.
